FAQ

The questions student officers actually ask, answered plainly.

Is it really free?

Yes. Student orgs stay on the free plan forever — unlimited members, unlimited free events, no card required at signup, no expiry on the free tier. You only pay if you choose to sell paid tickets or collect paid membership dues, and even then only standard organizer pricing applies on those specific transactions.

What happens after this year’s officers graduate?

Member data, event history, and org settings persist on the organization — not on individual officers. Hand over by transferring the OWNER role to next year’s president and adding the new exec team as MANAGER or ADMIN. Nothing has to be rebuilt from scratch.

Can our adviser, OSA, or coach see what we run?

Yes. Add them as a STAFF or MANAGER role on the org. STAFF gets read-only visibility into events and members; MANAGER can co-edit and approve. You stay in control of access.

Can we sell paid tickets too — for a fundraiser or concert?

Yes. Free events stay free. If you also run a paid event (fundraiser, concert, ticketed mixer), standard organizer pricing applies on those paid tickets only. See /pricing for the breakdown.

Can we use our school colors and logo?

Yes. Every org gets a tenant subdomain (yourorg.experialabs.com) and a branding panel for colors, logo, and fonts. Your org page looks like your org, not like Experia.

Will it work with our existing Facebook and Instagram presence?

Yes. Keep posting on socials — share your event link or org page link in your captions. RSVPs, check-ins, and member records all flow through Experia. You don’t have to choose between the two.

Can we collect member dues through this?

Yes — through paid membership tiers. Set a price per semester or per year, attach benefits (free tickets to internal events, VIP seating, exclusive content), and let members pay online. Standard payment processing fees apply only on paid memberships.

We have 500 members in a Google Sheet. Can we import?

Yes. CSV import takes first name, last name, and email. Tag the batch on import so you can filter by year level later. Larger imports may take a few minutes — you don’t have to add members one by one.
