Sponsorship management · Built for live events
Close more sponsors. Deliver every activation.
Build sponsor decks in 15 minutes. Track the pipeline from prospect to renewal. Deliver every promised activation. Sponsors renew because you delivered — not because you sold harder.
From in-kind partners to title sponsors — one source of truth for every deal.
The problem
Sponsorship sales is broken at three points.
01
Decks live in Google Slides.
Every event, your team rebuilds the same deck. Brands open it once, ghost you, and you never know if they read past slide 3.
02
Pipeline lives in a spreadsheet.
Sponsor leads, contact emails, contract status, last-touch — scattered across columns no two team members maintain the same way.
03
Deliverables fall through the cracks.
You promised three social posts, a logo on the LED wall, and a meet-and-greet. Half the things happen. Sponsors notice the half that didn't.
Sponsor types we support
One pipeline for every partner type.
01
In-kind partners
Trade barter, services, or product for activation rights.
02
Media partners
Print, radio, online, or social channels co-promoting your event.
03
Event sponsors
Cash sponsors funding specific activations — booths, hospitality, branding.
04
Title sponsors
Headline naming rights. Highest-tier contracts with long lead times and renewal terms.
What it does
Six tools that do what your spreadsheet can't.
01
Sponsor deck builder
Build a live, on-brand sponsor deck in 15 minutes. Tier cards, audience demographics, past-event highlights, contract terms — all in one page sponsors can't un-see.
02
Pipeline tracking
Prospecting → Outreach → Proposal Sent → Negotiation → Closed. Move sponsors through the stages, log every touch, see the deal value forecast roll up across your event.
03
Contracts & e-signatures
Generate sponsor contracts from a template. Send for e-signature. Track when each party signs. Store the signed PDF with the deal record.
04
Deliverables checklist
Track every promised activation: social posts, LED placements, hosted hospitality, branded swag. Tick them off as your ops team delivers — sponsor sees the proof.
05
ROI reporting
Post-event report with reach, impressions, attendee surveys, content captures. Generate a sponsor-ready PDF in one click. Renewals become a conversation, not a sales pitch.
06
Sponsor portal
Each sponsor logs into their own portal at partners.experialabs.com to see deliverables status, deck assets, and post-event reports. Reduces 80% of "any update?" emails.
Common questions
Frequently asked.
How is this different from a generic CRM like HubSpot?
Generic CRMs track deals. Sponsorship management requires tracking deliverables (the things you promised the sponsor would happen at the event), activations (the actual fulfilment), and ROI metrics post-event. Creator OS Sponsorships handles all three in one place, alongside your ticketing and event data.
Can sponsors access their own portal?
Yes. The sponsor portal lives at partners.experialabs.com (your subdomain if you're on the Enterprise plan). Each sponsor logs in to see deliverable status, deck assets, and post-event reports. Reduces back-and-forth email.
What file formats does the deck builder export?
Decks render as a live link (shareable URL) or export as PDF for offline review. Live links are recommended — sponsors get the latest version automatically and you see open/view analytics.
Does this work for events with 5–10 sponsors or only large festivals?
Works for both. Smaller events typically use it to track 3–5 active deals with a focus on deliverables. Larger festivals use the full pipeline with 20+ deals across multiple tiers.
How do I import existing sponsor data?
CSV import on the dashboard maps company names, contacts, deal values, and stages to the Creator OS data model. If you're coming from a more sophisticated CRM (HubSpot, Salesforce), we have field-mapping templates.
Can the deck builder pull in real event data?
Yes — past-event attendance, demographics, ticketing data, and CRM segments can be embedded into deck slides. New brands see real numbers, not hand-picked highlights.
